Getting Your Freight to the Show on Time
- Remove all old shipping address labels from prior years trade shows and affix new ones.
- Packaging will only last for so long and old crates and boxes should be retired. Crates are designed to protect the contents of your show materials and should be inspected and repaired before they are used again.
- Make sure your crates and cartons stand out on the show floor. All crates look similar and in many cases can be misplaced on the show floor.
- Include all the pertinent information about the show on the bill of lading including the booth number, show name, and your Company name on all shipping labels.
- Condense the size of your exhibition booth shipments. You can save a lot of money by using interlocking carpet panels that will fit inside your booth. This will save you money on renting carpet at the show and can be reused time and again.
- Learn how to complete the Material Handling Agreement (MHA, Bill of Lading, Shipping Form) before the show ends. This is the most important document you will need to complete to assure that your freight is shipped according to your wishes. Never leave it sitting on a crate inside your booth. You MUST turn it in to the Exhibitor Service Center once your entire shipment is packed and ready to be transported out of the show. Be sure to include your Carrier's name in the box provided on the MHA.
Getting Your Freight Out of the Show
- Make sure to get a Material Handling Agreement (Straight Bill of Lading) from the Show's General Contractor at their service desk
- Contact your DTS Trade Show Manager for Carrier Routing Instructions to be placed on the Bill of Lading
- Place at least one shipping label on each box. Place all pieces in your booth and not loose.
- Return the Bill of Lading. When the shipment is packed and ready, complete the bill of lading and return it to the Show’s General Contractor’s service desk.
